Integration and coordination of care are two of the cornerstones of the philosophy that guides our practice. To support this vision, we have put into place a robust technical and operational infrastructure. For example, our electronic medical records and document management systems allow us to share information among the clinicians involved in a client’s care; including, when appropriate, your primary doctor or other medical specialists.

The field is ever changing. We must remain informed about and even contribute to the development of new treatment techniques and procedures. Many of our clinicians hold Clinical Faculty appointments in VCU Health System’s Department of Psychiatry. Moreover, CCA has been able to work with the Department of Psychiatry to enable current teaching faculty (some of the most skilled practitioners in the nation) to expand their clinical practice into the community.

Medical Practice Operations Manager

Job Title: Practice Operations Manager

Experience Needed: 3+ years required

Status: Full-time

Reports to: Practice CEO

Job Summary:

The Practice Operations Manager (POM) is responsible for planning, directing, evaluating and managing the day-to-day administrative operations of a multi-site behavioral health practice. The POM is responsible for assisting the CEO in optimizing the efficiency and effectiveness of the practice operating within the community standard of care, meeting all legal and regulatory requirements, maximizing clinical revenues, and exceeding patient expectations.

Responsibilities and Duties:

  • Manages the administrative team
  • Provides supervision, job training, and performance appraisals to ensure effective execution of job duties.
  • Identifies need for ongoing development and training of assigned staff and facilitates education and communication to continually enhance staff competencies.
  • Evaluates work flows and resource needs and ensures adequate coverage for all administrative functions.
  • Promotes positive interpersonal relationships that support an environment conducive to team work, patient and staff satisfaction and high-quality care.
  • Manages the revenue cycle to maximize clinical revenue
  • Oversees front-end operations including patient scheduling and registration, insurance verification, and patient payments at time of service.
  • Oversees credentialing function to ensure proper credentialing of professional staff with third party payers.
  • Oversees billing and collections function monitoring all aspects to include insurance authorization, charge capture and reconciliation, collections, payment posting, internal controls, billing and coding and denial monitoring.
  • Develops and regularly reviews performance metrics to ensure efficient and effective revenue cycle operation. Continually assesses quality, productivity and efficiency of each assigned area to maintain and improve cost-effective operations.
  • Coordinates and performs human resource functions
  • Recruits administrative staff to ensure adequate coverage for all essential functions.
  • Coordinates onboarding of new administrative staff.
  • Assists CEO in management of employee benefits (health insurance enrollment, vacation/sick time, 401K administration, employee review dates tracking, etc.)
  • Maintains human resources files for administrative and professional staff
  • Maintains employee handbook.
  • Responsible for ensuring practice-wide compliance
  • Monitors and ensures practice compliance with all legal and regulatory requirements, requirements of third party payers, and policies and procedures related to operation of practice.
  • Oversees health information management/electronic medical record function and staff.
  • Maintains a current working knowledge of HIPAA Regulations and ensures practice-wide compliance with same.
  • Identifies potential risk areas bringing them to the attention of the CEO and assists with problem resolution.
  • Documents and maintains records of compliance activities.
  • Provides support to the CEO by assisting with the following administrative functions:
  • Provides daily physical facility oversight, ensuring that all physical aspects are maintained appropriately and that procedures concerning the safety and security of staff and patients are followed.
  • Assists with the maintenance of technology resources (computer systems and software, telephone, internet and office equipment). Ensures that all equipment is properly maintained, repaired as needed and equipment-related activities are properly documented.
  • Writes new and updates existing policies and procedures as necessary; reviews all policies and procedures at least every twelve months.
  • Oversees, within scope of assigned responsibility, business and financial activities of the practice including but not limited to the preparation and processing for payment of accounts payable invoices, submission of bank deposits, and the ordering of office and other practice supplies.
  • Prepares routine and ad hoc business and operational reports.
  • Addresses and effectively resolves issues brought forward by patients and patient representatives, administrative and professional staff, and payers.

In addition to the preceding job functions, the POM may also perform other duties and responsibilities as required or assigned.

Qualifications and Skills:

Required education/experience

  • Bachelor’s Degree in Health Administration, Business Administration, Accounting, or related field or an equivalent combination of education and experience.
  • A minimum of three years of experience in an outpatient medical practice setting, including management and supervisory responsibilities. Supervision of multiple clinical settings or a behavioral health clinic setting a plus.

Desired skills/knowledge

  • Proven ability to guide and supervise others and effectively lead employees in a constructive and appropriate manner that fosters cohesiveness and commitment.
  • Knowledge of medical revenue cycle including both front and back end operations
  • Experience with credentialing of medical providers with third party payers
  • Understanding and application of Federal HIPAA guidelines and confidentiality requirements
  • Experience developing, implementing and maintaining human resources record-keeping systems and policies and procedures
  • Strong literacy and comprehension of computer systems, technology and applications, with aptitude to learn and manage practice’s financial and operating systems and applications
  • Ability to communicate effectively, both verbally and in writing
  • Able to plan and manage time effectively, organize resources, set priorities and complete projects in a timely manner
  • Ability to analyze, comprehend, and interpret data for others
  • Skilled in establishing and maintaining effective communication and positive working relationships
  • Medical Coding Certification (CPC)

Physical Demands

  • Performing routine tasks involving sitting in one location for prolonged periods of time
  • Standing, walking, stooping, kneeling and crouching
  • Lifting and/or moving up to 20 pounds and occasionally lifting and/or moving up to 50 pounds
  • Driving between the practice sites and to locations required as part of executing job duties and responsibilities

Environment and Work Conditions

  • The environment demands independent work, as well as highly collaborative team work, in what can often be a fast-paced setting
  • Patient and staffing demands may necessitate additional hours and adjusted work routines
  • The noise level in the work environment is usually minimal

Child Psychiatry Staff Position

Our rapidly growing outpatient private practice is searching for a full time BC/BE Child & Adolescent Psychiatrist. Minimal qualifications include Doctorate of Medicine or Osteopathic Medicine with residency in psychiatry and fellowship in child & adolescent psychiatry Candidates must be licensed or license eligible in Virginia and hold valid DEA Certification.

Clinical Psychologist Staff Position
